Privacy Policy.

This Privacy Policy describes how Starsitez ("we", "us", "our") collects, uses, and discloses information when you use the Starsitez platform and the tenant sites we operate (collectively, the "Service"). It also explains your rights and how the law protects you.

By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

Interpretation and Definitions

Definitions

For the purposes of this Privacy Policy:

  • Account means a unique account created for you to access our Service or parts of our Service.

  • Affiliate means an entity that controls, is controlled by, or is under common control with a party, where "control" means ownership of 50% or more of the shares, equity interest, or other securities entitled to vote for election of directors or other managing authority.

  • Company (referred to as "the Company", "Starsitez", "We", "Us", or "Our") refers to Starsitez.

  • Country refers to: California, United States.

  • Device means any device that can access the Service such as a computer, a cellphone, or a digital tablet.

  • Personal Data is any information that relates to an identified or identifiable individual.

  • Payment Processor means a third party that processes payments on Our behalf — specifically, Stripe, Inc.

  • Service refers to the Starsitez platform website, the tenant sites we operate (e.g. the Requiem staff portal), and any related software, applications, or services we provide.

  • Service Provider means any natural or legal person who processes data on behalf of the Company, including hosting, payment, authentication, and analytics providers.

  • Subscription means a recurring (e.g. monthly or yearly) service that you purchase from us, such as a maintenance plan.

  • Tenant Site means a Service instance operated by Us for a specific customer group (for example, the Requiem staff portal at /games/requiem).

  • Third-Party Social Media Service refers to any website or social network through which You can log in or create an account to use the Service.

  • Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).

  • You means the individual accessing or using the Service, or the company or other legal entity on behalf of which such individual is accessing or using the Service.

Collecting and Using Your Personal Data

Types of Data Collected

Information from Third-Party Social Media Services

We allow You to create an account and log in to the Service through the following Third-Party Social Media Services:

  • Roblox
  • Discord

If You register through or otherwise grant Us access to a Third-Party Social Media Service, We may collect Personal Data already associated with that account, such as Your username, Your numeric user ID, Your avatar image, and (in the case of Discord) Your email address if You grant the relevant scope. We use this information solely to identify You on the Service, link Your Discord and Roblox identities, and provide the features You request.

Payment Information

When You purchase a package or subscribe to a maintenance plan, payment is processed by Our Payment Processor, Stripe. We do not store, see, or have access to Your full payment card details. Stripe collects, processes, and stores Your card information in accordance with Stripe's Privacy Policy.

From Stripe, We receive and retain a limited record of each transaction, which may include:

  • Your name and billing email address
  • The country (and, where collected, the postal code) associated with Your billing address
  • A transaction identifier, the amount paid, the currency, and the time of the transaction
  • The last four digits and card brand of the payment method (for receipts and customer service)
  • The package, subscription, and any add-ons You purchased

Submission Content

If You use a Tenant Site to submit content — for example, event logs, death-form entries, promotion requests, moderation actions, or staff inactivity notices — We store the content You submit, including any screenshots or images You upload. Reviewers on that Tenant Site can see this content in order to act on it.

Usage Data

We collect Usage Data automatically when You use the Service. Usage Data may include information such as Your Device's Internet Protocol (IP) address, browser type, browser version, the pages of our Service that You visit, the time and date of Your visit, the time spent on those pages, and other diagnostic data. We use this information for security, abuse prevention, debugging, and to improve the Service.

Cookies and Similar Technologies

We use a small number of cookies, all of which are strictly necessary for the operation of the Service:

  • Session cookies set by Our Service to keep You logged in to Your account.
  • Stripe cookies set during checkout to enable secure payment processing and fraud prevention. See Stripe's cookie policy.

We do not currently use advertising, behavioral tracking, or third-party analytics cookies. You can disable cookies in Your browser, but doing so will prevent You from logging in or completing purchases.

Use of Your Personal Data

We may use Personal Data for the following purposes:

  • To provide and maintain the Service, including to monitor the usage of the Service.

  • To manage Your Account and grant access to the features available to You as a registered user.

  • To process payments and manage subscriptions, including issuing receipts, handling renewals, processing refunds where applicable, and addressing payment failures.

  • For the performance of a contract, including the delivery of any package, maintenance plan, or other service You have purchased.

  • To contact You regarding Your account, Your purchases, the security or availability of the Service, or changes to these terms — by email or other equivalent forms of electronic communication.

  • To prevent and detect fraud, abuse, and security incidents.

  • To comply with legal obligations, including tax, accounting, and regulatory requirements relating to payment processing.

  • To manage Your requests, including support requests and requests to exercise Your rights under this Policy.

  • For business transfers: We may use Your information to evaluate or conduct a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of Our assets.

Sharing Your Personal Data

We share Personal Data only in the following situations:

  • With Service Providers: We share information with third parties that help Us operate the Service, including:
    • Stripe, Inc. — payment processing and subscription billing
    • MongoDB, Inc. (MongoDB Atlas) — database hosting
    • Discord and Roblox — only to the extent necessary to authenticate You and link Your accounts
    Each of these providers processes data only on Our instructions and is bound by its own privacy and security commitments.
  • With Tenant Site staff and reviewers: Content You submit to a Tenant Site (for example, event submissions on the Requiem staff portal) is visible to that Tenant's authorized staff and reviewers so they can act on it. Different Tenant Sites do not share submission data with one another.
  • For legal reasons: We may disclose Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).
  • For business transfers: We may share or transfer Personal Data in connection with any merger, sale of Company assets, financing, or acquisition of all or a portion of Our business.
  • With Your consent: We may disclose Personal Data for any other purpose with Your consent.

We do not sell Your Personal Data.

Retention of Your Personal Data

We retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. Specifically:

  • Account data is retained for as long as Your account is active. If You request account deletion, We will delete or anonymize Your account data within a reasonable period, except where We are required to retain it.
  • Submission content and uploaded images are retained while the submission is pending. Approved submissions are summarized in the relevant Tenant's records; the original uploaded image is deleted once the submission is approved or rejected.
  • Transaction records (including invoices and payment metadata received from Stripe) are retained for at least the period required by applicable tax, accounting, and consumer-protection laws — typically seven (7) years.
  • Usage Data and security logs are generally retained for a shorter period, except where We need to retain them to maintain the security of the Service or to comply with legal obligations.

Transfer of Your Personal Data

Your information, including Personal Data, is processed in the United States and may be transferred to — and maintained on — computers located outside Your state, province, country, or other governmental jurisdiction where data-protection laws may differ from those in Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer. We take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy.

Your Rights

Depending on where You live, You may have the following rights with respect to Your Personal Data:

  • Right to access — request a copy of the Personal Data We hold about You.
  • Right to correct — ask Us to correct inaccurate or incomplete Personal Data.
  • Right to delete — request that We delete Personal Data about You, subject to legal retention requirements.
  • Right to restrict or object to processing, in certain circumstances.
  • Right to data portability — receive a copy of Your Personal Data in a structured, commonly used format.
  • Right to withdraw consent, where We rely on consent as the legal basis for processing.
  • Right to lodge a complaint with Your local data-protection authority.

For California Residents (CCPA / CPRA)

If You are a California resident, You have additional rights under the California Consumer Privacy Act and the California Privacy Rights Act, including the right to know what Personal Information We collect about You, the right to request deletion of Personal Information, the right to correct inaccurate Personal Information, and the right to opt out of the sale or sharing of Personal Information. We do not sell or share Your Personal Information for cross-context behavioral advertising. You will not be discriminated against for exercising these rights. For Users in the European Economic Area and the United Kingdom (GDPR / UK GDPR)

If You are located in the EEA or the UK, We process Your Personal Data on one or more of the following legal bases:

  • Performance of a contract — to provide the Service or any package, subscription, or feature You have requested.
  • Legitimate interests — for example, to secure the Service against fraud and abuse, to operate Our business, and to communicate with You about Your account.
  • Legal obligation — to comply with tax, accounting, and other applicable laws.
  • Consent — where We ask You to opt in to a specific use of Your data.

Security of Your Personal Data

The security of Your Personal Data is important to Us. We use commercially acceptable means to protect it, including encryption in transit (HTTPS), hashed passwords, restricted database access, and reliance on PCI-DSS-compliant providers (Stripe) for payment data. No method of transmission over the Internet or method of electronic storage is 100% secure, however, and We cannot guarantee its absolute security.

Children's Privacy

Our Service is not directed to anyone under the age of 13, and We do not knowingly collect Personal Data from anyone under the age of 13. If You are a parent or guardian and You are aware that Your child has provided Us with Personal Data, please contact Us. If We become aware that We have collected Personal Data from anyone under the age of 13 without verification of parental consent, We will take steps to remove that information from Our servers.

Purchases through Our Service are limited to individuals aged 18 or older.

Links to Other Websites

Our Service may contain links to other websites that are not operated by Us. If You click on a third-party link, You will be directed to that third party's site. We have no control over and assume no responsibility for the content, privacy policies, or practices of any third-party sites or services.

Changes to this Privacy Policy

We may update Our Privacy Policy from time to time. We will notify You of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date at the top. For material changes that affect how We process Your Personal Data, We will make reasonable efforts to provide additional notice (for example, by email or a prominent notice on the Service) before the change becomes effective.
